TO:                  Area Agency on Aging (AAA) Directors

                        Home and Community Services (HCS) Regional Administrators

 

FOR:               All AAA and HCS Field Staff Authorizing Services through SSPS

 

SUBJECT:     MAJOR REVISION OF APPENDIX A, SSPS CODES FOR

MPC, COPES AND RESIDENTIAL SERVICES

 

ALERT! 

A major revision to SSPS codes will be sent to HCS and AAA field staff in early March.  Staff should make the newly required changes at the next change on the 14-154/159.  These changes include:

 

·           Required order for entering codes on 14-154/159’s due to AASA's reporting system for FFP to the federal government in or to claim federal match:

1.      Participation for in home and residential as it applies

2.      Basic rate, board & room (MPC ONLY)

3.      Personal care

4.      Any additional paid services

 

·           Updated language, e.g. PNA replace CPI, ARC replaces CCF, etc.

·           Updated tax information regarding W-2 and 1099

·           MPC codes that emphasize RSN and Shared Living Arrangement procedures

 

The following procedures should be followed:

 

·          Use of the 9 code with ETP on the 14-154/159

Flex rates are ETPs. When considering a flex rate, the need must be documented per WAC 388-440-0001 and outlined clearly in the comprehensive assessment and service plan.  Once the plan is approved, all services to that client are part of the exceptional cost to that plan of care for the month.  All codes opened in SSPS for that client need to use a 9 code for the duration of the exception.
